Position Overview:

We are seeking a detail-oriented and highly organized Event Specialist with a strong focus on registration management, tactical Event support, and Cvent expertise. This role is ideal for someone who thrives in the logistics and operational side of event planning and enjoys creating seamless attendee experiences. While the primary focus will be on in-person event logistics, experience with virtual event platforms is a valuable bonus.

As an Event Specialist, you will be a key player in the execution of corporate events, responsible for managing attendee registration, coordinating event logistics, supporting the team administratively, and working within Cvent to build and maintain high-quality event programs.

Primary Responsibilities:

To perform this role successfully, an individual must be able to manage multiple projects with precision and a high attention to detail. Core responsibilities include, but are not limited to:

Registration & Attendee Management:

  • Build, test, and manage event registration sites using Cvent.
  • Maintain accurate attendee databases; track RSVP responses and special requirements.
  • Perform cross checking of reporting and comparative analysis to ensure every detail is covered and considered during planning.
  • Handle attendee inquiries and provide top-tier customer service via email and phone.
  • Create and deploy registration-related communications including invitations, confirmations, reminders, and post-event surveys.

 Administrative Event Support:

  • Assist with event timelines, task lists, documentation, and meeting notes.
  • Support venue sourcing, RFP creation, and BEO coordination including food & beverage, AV, and room layouts.
  • Support creation of Proposal Decks, built in PowerPoint.
  • Create and manage packing lists, event collateral, and shipping logistics.
  • Assist with travel letters, signage, name badges, and registration materials.

Cvent & Technology Support:

  • Manage the setup and testing of Cvent event builds, registration flows, and mobile apps.
  • Support integrations between Cvent and other event technologies.
  • Pull reports from Cvent for registration counts, custom questions, session tracking, and post-event data analysis.

Event Execution & Onsite Logistics:

  • Support on-site registration desks, attendee check-in, signage setup, and event materials.
  • Coordinate closely with vendors, venue staff, and internal stakeholders to ensure seamless execution.
  • Troubleshoot event-day issues with a solutions-oriented mindset.

Virtual Event Experience:

  • Support virtual or hybrid events on platforms such as Zoom, Webex, ON24, or similar.
  • Assist in building session schedules, moderating virtual event components, or communicating platform instructions to attendees.

Post-Event Tasks:

  • Reconcile registration and housing data with vendor invoices and hotel rooming lists.
  • Compile and analyze post-event survey feedback and metrics.
  • Maintain organized event records, financial tracking, and reporting documentation.

Qualifications & Requirements:

  • Associate’s degree or equivalent experience in event coordination, hospitality, or related field.
  • 2–3 years of experience in event operations, with a strong emphasis on registration and logistics.
  • Proficiency with Cvent or other registration/event management platforms required.
  • Strong customer service orientation with a friendly and professional communication style.
  • Exceptional attention to detail, organizational skills, and ability to prioritize.
  • Comfortable working under tight deadlines and managing multiple events simultaneously.
  • Collaborative team player with the ability to work cross-functionally.
  • Must be flexible to travel up to 30% and support evening/weekend events as needed.

 Preferred Skills:

  • Experience with virtual event platforms such as Zoom, Webex, or ON24.
  • Familiarity with CRM systems, PowerPoint, Excel, and event marketing tools.
  • Strong writing skills for attendee communications and surveys.
  • Knowledge of event metrics and analytics.

 Physical Requirements:

  • Ability to travel frequently, including by car, plane, or other forms of transportation.
  • Ability to drive for extended periods, often to client meetings, industry events, and other locations.
  • Ability to lift and carry sales materials or promotional items, weighing up to 15 pounds when necessary.
  • Ability to stand, walk, or engage in active discussions with clients for extended periods.
  • Ability to navigate various environment, such as office buildings, trade shows, or outdoor spaces during sales visits.
  • Ability to operate a mobile device, laptop, and other sales technology while on the go.
  • Ability to communicate effectively in person, on the phone, and via email.
  • Ability to engage in repetitive motions such as typing, dialing, or writing for extended periods when preparing reports, proposals, or emails.

This role can be performed from any office in the US. The pay range for this position is $55,200-$70,000/yr; however, base pay offered may vary depending on job-related knowledge, skills, and experience. This position offers a full range of benefits outlined here.
